JAAS Psych is committed to safeguarding the privacy of patient information in compliance with the Australian Privacy Principles contained in the Privacy Act 1988 (Cth). Our doctors, nurses, and other staff are bound by these principles and a strict code of conduct that governs how private sector health service providers collect, use, disclose, and store your personal and sensitive (health) information.

Information We Collect

We collect personal details and medical history to provide medical treatment and advice. This includes, but is not limited to:

  • Name

  • Date of birth

  • Address

  • Contact numbers

  • Financial details (e.g., health fund details, person responsible for the account)

  • Medical information, including medical history, mental health history, personal history, medications, allergies, adverse events, immunisations, social history, family history, and risk factors

Why We Collect This Information

The primary purpose of collecting your information is to provide the necessary treatment and care. We also collect your information to:

  • Administer and manage healthcare services, including billing and debt collection

  • Contact you with relevant medical advice or information

  • Conduct health insurance eligibility checks

  • Improve the quality of our services through research and development

  • Conduct regular surveys to understand individual needs

  • Maintain and develop business systems and infrastructure

How We Collect This Information

We typically collect your information directly from you or your nominated GP’s Medical Centre. In some cases, we may also need to collect information from third parties, such as relatives, power of attorney, employer, or other health service providers, especially in emergencies or when you cannot provide the information yourself.

Data Security

We ensure the protection of patient privacy during the transfer, storage, and use of personal health information. All information systems are encrypted with a minimum 256-bit encryption key, and staff logins require two-factor authentication. Medical records are retained as per legal requirements: a minimum of 7 years from the last entry for adults, and until the patient turns 25 years old for minors.

Our website uses the following tools to track, store, and manage user data:

  • Wix Analytics: Tracks website performance and user interactions.

  • Google Analytics: Collects data on website traffic and user behaviour.

  • Google Tag Manager: Manages and deploys marketing tags.

  • Google reCAPTCHA: Protects our website from spam and abuse.

  • Google Search Console: Monitors and maintains website presence in Google search results.

Use and Disclosure of Personal Information

We use your information to provide ongoing medical treatment and care. This may include disclosing relevant information to other health service providers (e.g., pathology labs, imaging centers) as needed. We may also use your information for:

  • Administrative purposes

  • Liaising with Medicare, WorkCover, or similar bodies for billing

  • Communicating with other health professionals involved in your care

We do not use your information for direct marketing purposes unless you provide explicit consent.

Access to Your Information

You have the right to request access to your personal information, including your medical records. Requests should be made in writing and may be subject to a fee for copies. Access may be declined in special circumstances, such as when it poses a risk to you or others, or when it impacts someone else’s privacy.

Amending Your Information

If you believe that the information we hold about you is incorrect or outdated, you can request to have it amended. If we do not agree with the amendment, you can request that a note of your requested correction be added to your record.

Consequences of Not Providing Personal Information

Providing accurate and complete information is crucial for your healthcare. If you choose not to provide certain information, it may impact our ability to provide you with quality care and may limit the services we can offer.

Complaint Resolution

If you have any complaints about how your information is handled, please contact our Practice Manager. We aim to address and resolve all complaints promptly. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.

Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices or regulatory requirements. Any changes will be posted on our website, and your continued use of our services will be deemed acceptance of the updated policy.

We’re Not An Emergency Service

Telehealth services, including those provided by JAAS Psych, are not for emergencies. In case of immediate risk, dial 000 or visit your local hospital’s emergency department.
